Reports To: Utilities Project Coordinator                                                 Pay Grade/Wage: U105 - $13.64/Hour

Position Type: Full-Time                                                                         Hours: 40 hrs/week

 

Job Summary:

Performs a variety of clerical tasks and will perform typing tasks. This individual is responsible for varied clerical work which may require a qualified typist. It calls for the exercise of judgment in the application of prescribed procedures and methods to routine matters. Depending upon the nature of the assignment, the work may be done under close or general supervision and checked by another step in a clerical process or by an immediate supervisor. Employee reports to Utilities Project Coordinator.

Job Description:

DUTIES & RESPONSIBILITIES

  • Prepares purchase orders and accounts payable slips.

  • Processes invoices and applications.

  • Searches records.

  • Handles time and attendance report for employment department.

  • Writes up maintenance requests.

  • Employee cross-indexes and files documents and correspondence alphabetically, numerically or by other classification.

  • Maintains logs and other records.

  • Assembles data from office records for incorporation into various reports.

  • Maintains simple and complex records.

  • May act as receptionist if necessary.

  • Must operate a computer.

  • Delivers and picks up material.

  • Ability to type correspondence from rough drafts, requisitions, statistical tabulations and data, form letters, memoranda, voucher, reports and other materials.

  • Takes messages and transfers calls.

  • Responsible for receiving phone calls, responding to public inquiries, problems/complaints, investigations, and resolutions regarding utility issues and dispatches personnel as needed.

  • Accesses, inputs and retrieves information from a computer.

  • With Supervision performs budget coordination for Utilities divisions 203-206 & 210.

  • Responsible with supervision for the preparation of 203-206 & 210 line item budgets.

QUALIFICATION REQUIREMENTS

EDUCATION AND EXPERIENCE REQUIREMENTS

  • High school or general education degree (GED) from an accredited institution is required.

  • A minimum of three years experience as an Administrative Assistant II or an equivalent is required

  • Experience in advanced clerical and secretarial work is required.

  • An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered for minimum requirements except for licensure/certification requirements.

LICENSES AND SPECIAL REQUIREMENTS

  • Must be First Aid and CPR/AED certified or get certified within six (6) months of hire.

PREFERRED SKILLS

  • Experience in bookkeeping is highly desired.

  • Completion of business school or college level training is highly desirable.

LANGUAGE SKILLS

  • Ability to clearly and effectively communicate verbally and in writing.

  • Ability to develop and maintain good personal relationship with other employees and the public.

  • Ability to deal with the general public in a professional, courteous manner.

  • Ability to develop oral and written reports and presentations.

REASONING ABILITY

  • Ability to apply common sense understanding, to carry out and follow instructions furnished in written and oral form.

  • Ability to deal with problems involving several variables in standardized situations when immediate guidance from the supervisor may not be available.

  • Ability to work with a minimum amount of supervision and to think and act independently under general supervision.

  • Exercise independent judgment in the performance of specifically assigned responsibilities.

  • Ability to make minor decisions in accordance with laws, ordinances, regulations and established policies.

OTHER SKILLS AND ABILITIES:

  • Extensive knowledge of office terminology, procedures and equipment, and of business arithmetic and English.

  • Ability to operate a computer with good knowledge of Microsoft Office Suite.

  • Ability to make relatively complex mathematical computations rapidly and accurately.

  • Some knowledge of elementary bookkeeping.

  • Ability to type from clear copy or draft at an average rate of speed.

  • Knowledge of FLSA rules.

  • Clerical aptitude, initiative, efficiency, good judgment and tact and courtesy are required.

 

WORK ENVIRONMENT/ADA: While performing the duties of this job, the employee is regularly required to sit for long of periods of time performing repetitive functions and/or view a display screen. Some of these functions include: filing and ordering files. Ability to access, input, and retrieves information from a computer.
