Utilities Special Projects Coordinator I

                    Pay Grade: U112                                                                                                                                                 Dept: Utilities

                    Exempt: Yes                                                                                                                                                        Reports to: Utilities Director

                    Hours: 40 per week                                                                                                                                             Date: December 2019


SUMMARY:  Under the supervision of the Utilities Director, this position coordinates special projects, reviews projects, and conducts other administrative duties as assigned. Employee is also responsible for the implementation, maintenance, and operation of City Works in the Utility Department. Employee reports directly to the Utilities Director.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Creates and maintains templates for City Works.

  • Creates personnel accounts and maintains all security and access to City Works program.

  • Trains, reviews, and assist staff in the operation of City Works.

  • Coordinates special projects as assigned and implementation of new software.

  • Provides research, analysis and reports on various issues and topics.

  • Provides analytical support through research and statistical analysis, advanced data entry and retrieval, report writing, and creative writing including but not limited to: emergency and other response plans, operation and maintenance manuals.

  • Observes crews in the field as needed.

  • Reviews, writes, and maintains all utilities SOP’s.

  • Provides other administrative support as assigned.

  • Maintain, review and enhance the supervisory control and date acquisition (SCADA) system as required.

  • Manages SCADA program Hyper Server System and screens.

  • Possesses a valid Florida Driver’s License.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION/EXPERIENCE: Graduate of an accredited high school or possess an acceptable equivalency diploma. A minimum of two years of experience in office management in a utilities field or related field is required. Must have completed course work in Microsoft Office, Office Administration, and have advanced clerical and secretarial experience. Two-year college degree in Office Administration or Business is desired or any equivalent combination of education, experience and training. Must be CPR / AED qualified; if not then it is required to be completed before probation is completed.

 

REASONING ABILITY: The applicant must have the ability to apply common sense understanding to carry out instructions furnished in written or oral forms. The applicant must have the ability to work with a minimum amount of supervision and to think and act independently under general supervision. Initiative, tack, efficiency, and good judgment are required.

 

REQUIRED LICENSES OR CERTIFICATES:

  • CPR / AED Certification

  • Completed course work in Microsoft Office

  • Completed course work in Office Administration

  • Completed course work in Business Office Administration

DESIRABLE LICENSES OR CERTIFICATES:

  • Two-year College Degree in Office Administration or Business

  • Completed Course Work in Bookkeeping or Accounting

OTHER SKILLS AND ABILITIES:

  • Ability to coordinate and organize meetings.

  • Ability to prepare complex reports.

  • Advanced data entry and retrieval.

  • Advanced ability to utilize MS Word, MS Excel, MS PowerPoint, MS Access, and MS Publisher.

  • Advanced ability to utilize and update SCADA program.

  • Advanced ability to utilize and update City Works program.

  • Good professional judgment.

  • Exceptional tact and courtesy.

  • Exceptional oral and written communication skills.

  • Ability to establish and maintain effective relationships with other City officials, employees and the general public.

  • Thoroughness and dependability.

  • Must be able to attend night meetings as needed.

  • Ability to prioritize multiple projects.

  • Strong project management and problem-solving skills.

 

WORK ENVIRONMENT/ADA: While performing the duties of this job, the employee is regularly required to sit for long of periods of time performing repetitive functions. Some of these functions include filing, typing prescribed words per minute accurately, sitting at desk and viewing display screen for extended periods of time.

  • Environment: Inside office or outside in various weather conditions

  • Vision: 20/20 or Corrected to 20/100

  • Hearing: Normal to very high noise levels
